POLICY:            SECRETARY

PURPOSE: 

  • Ensures that records are maintained for all business and Board meetings, and handles chapter correspondence at the direction of the President. 

  • Elected for a two year term.

RESPONSIBILITIES:

  1. Record the minutes of all meetings of the chapter and the Board of Directors.
  2. Give notice of all meetings of the membership, at least one week prior to the meeting.  This may be done by newsletter.
  3. Read or posts minutes at chapter meetings.
  4. Ensure that all correspondence is done:        
    •             National committee requests/surveys 
    •             Thank you to speakers at chapter programs and workshops
    •             Request for national nominees for office.
  5. Keep a permanent record of all business meetings.  Give this record to the incoming President.
  6. Maintain all official records of the chapter.
  7. Secure chapter stationary.
  8. Complete election results from within two (2) weeks of election and send to national AORN each year.
  9. Maintain record of communications sent for two years.
  10. Provide Nominating Committee chairman with a list of eligible members as potential candidates for office by the April meeting.
  11. Have a list of eligible voters at every meeting.
  12. Must attend 2/3 of the Board meetings and 2/3 of the chapter meetings (7).
  13. Deliver all records or other properties to the incoming secretary within two (2) weeks or at the annual meeting.
